This corporate policy describes the range and the goals of processing personal data (hereafter referred to as “Data” or “Your Data”), the processing period, the technical and organizational measures taken by Acta Verba for protecting Personal Data in accordance to Regulation EU 2016/679 for protecting Personal Data (hereafter referred to as “The Regulation”). This Policy is developed by Acta Verba Ltd. in its capacity of controller of personal data and owner of this website www.acta-verba.com.

Acta Verba Ltd. (hereafter referred to as “Acta Verba”) reserves the right to change this Policy by publishing here in due time the latest changes.

The current Policy is observed by all Acta Verba employees.

Goal of collection and processing personal data

Acta Verba collects and processes your data only for legitimate purposes and in compliance with the Regulation.

The purpose of collecting and processing the Data is to provide and perform our services, related to the main activity of Acta Verba – distribution of information, event organizing and marketing.

We need to have your Data, so we can contact you and inform you that we are inviting you to take part in events, to give you latest information (news which are related to clients and other events that are of mutual gain) or to offer you services or information, requested by you. We also collect, keep and process you Data on the basics of legal proceedings, such as tax and accounting purposes. Acta Verba does not perform automated decisions with data and profiling.

Grounds of collecting, processing and storing your Data

We collect, process and store your Data by the following grounds:

  • Having your explicit approval;
  • On a basis of a current agreement or preparing a new one, between Acta Verba and You or the enterprise / institution you represent;
  • When implementing and complying to a legal obligation, that applies to Acta Verba;
  • For the purposes of Acta Verba’s legitimate interest.

How do we collect your Data

We collect your data:

  • When you provide us with your business card o, including during your participation in events;
  • When you contact us via e-mail, phone or in another way;
  • From publicly available sources;
  • When you provide us with your Data in the course of a contractual relationship between Acta Verba and you or the enterprise / institution you represent;
  • When we receive your Data from our partners or clients;
  • On the grounds of every other action, which you take in your interactions with Acta Verba and the abovementioned website.

Data categories that we collect directly from you

Types of data, which could be processed by Acta Verba for the abovementioned purposes are:

  • Names;
  • Your contact data – phone numbers, e-mail addresses, the name and the address of the organization you work for, your position at this organization, also a personal address, which we need to send paper-based invitations.

The user of information, subject of personal data, gives its permission selectively and particularly which data and for what purpose should be used.

Acta Verba does not collect and process special categories of Data (sensitive Data) within the meaning of Article №9 from the Regulation, except if you do not voluntarily disclose this information to us or in the cases, listed in Article №9 from the Regulation when their provision is legally regulated.

Data categories that we receive from third-parties

In some cases, registration for events occurs on websites, owned by Acta Verba’s clients and contracting entities of the organization of a particular event Then the Data could be shared with third-parties –the event organization contracting entities. In that case we undertake all measures needed to make sure that our clients have complied with the requirements from the Regulation.

The Data we receive from our clients and partners could be:

  • Names;
  • Your contact data – phone numbers, e-mail addresses, the name and the address of the organization you work for, your position at this organization, also a personal address, which we need to send paper-based invitations.

Acta Verba does not collect and process special categories of Data (sensitive Data) within the meaning of Article №9 from the Regulation, except if you do not voluntarily disclose that information to us or in the cases, listed in Article №9 from the Regulation when their provision is legally regulated.

In case we collect your Data from а publicly available source we’ll make sure we inform you.

Parties to which we provide your Data

The data could be given to clients who are of event organization contracting entities, to accountants – for accounting and if the Data is requested by investigative authorities or the police.

Categories of Data subjects

The categories of Data subjects could be employees, *performers* of civil contracts, potential participants and sponsors of events, journalists, analysts, clients, partners of Acta Verba and visitors of this site.

Your rights

We take into consideration your rights in accordance to the requirements of the Regulation, the fundamental of which are:

  1. A right to information about your rights, the same are listed in the next bullet points of this section
  2. A right to access your own Personal Data – on the basis of an enquiry we will give you information about your Personal Data, which we process. Please, bear in mind that it is possible that Acta Verba has to collect reasonable fares.
  3. A right to correct your Data by an appeal from you and specific information, accompanied, when possible, with your written agreement
  4. A right to delete your Personal Data by a request, submitted by you. Please, bear in mind that this is not always possible, except in the cases listed in the Regulation and in accordance with the applicable legislation.
  5. A right to limit the processing of Data. Please, bear in mind that this is not always possible, except in the cases listed in the Regulation and in accordance with the applicable legislation.
  6. A right of objection against processing the Data. Please, bear in mind that this is not always possible, except in the cases listed in the Regulation and in accordance with the applicable legislation.

Technical and organizational measures

We apply the appropriate technical and organizational measures so collecting and processing of Data are carried out in accordance with the requirements of the Regulation and they provide protection of the subject’s rights. We review, control and when necessary we correct on a daily basis the effectiveness of our security measures, of appropriate systems, controls and procedures, including scanning for vulnerabilities and their correction. We apply adequate internal rules and employee training in terms of processing, preserving and security of the Data and the confidential information.

Duration of data retention

The data is retained for as long as the professional relationship lasts, as long as no processing is required beyond that period for the purpose of protecting our legitimate interests or in accordance with the applicable legislation.

The processing of your data does not go beyond the scope and the volume declared by this Privacy Policy, which also complies with our Internal Rules.

As part of the internal rules, a procedure for transmitting personal data on request has been established. Moreover, the individual entity signs a declaration that it has received its personal data.

Your consent to the use of your data may be withdrawn at any time by contacting us at our e-mail at team@acta-verba.com. Withdrawal of consent does not affect the lawfulness of the processing based on your consent prior to its withdrawal.
